{"id":2,"date":"2024-04-15T14:21:52","date_gmt":"2024-04-15T14:21:52","guid":{"rendered":"https:\/\/saplingroadallotmentsociety.co.uk\/?page_id=2"},"modified":"2025-11-25T07:18:08","modified_gmt":"2025-11-25T07:18:08","slug":"sample-page","status":"publish","type":"page","link":"https:\/\/saplingroadallotmentsociety.co.uk\/index.php\/sample-page\/","title":{"rendered":"Constitution (adopted February 2025)"},"content":{"rendered":"\n<p class=\"wp-block-paragraph\">The name of The Society is Sapling Road Allotment Society (also referred to as &#8220;The Society&#8221;).<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Sapling Road Allotment Society is primarily a gardening club which exists for the good and benefit of its Membership, and to promote the benefits of Sapling Road Allotment Site to the local community. Sapling Road Allotment Society will help to maintain and improve Sapling Road Allotment Site for current and future generations of allotment holders and will strive to ensure that Bolton Council abides by its legal obligations as defined by The Allotment Act (last amended 1950).<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The Society shall be directed by three elected Officers: The Chairman, The Treasurer, and The Secretary. The Officers shall be elected at the Annual General Meeting (AGM) and shall be responsible for carrying out the necessary day to day business of The Society. The Officers shall consult with the membership regularly in order to understand and implement the requirements of the membership who&#8217;s interests the Society primarily exists to represent. Should any elected Officer of The Society stand down, or be unable to carry on their duties, an election shall be called to replace that Officer, the election to be no more than 21 days after the post is vacated. Rules for any interim election shall be the same as those applicable to the AGM.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Any Officer of The Society may spend up to \u00a3100 without making a proposal to the membership at a general meeting. Amounts over \u00a3100 may only be spent by making a proposal to a general meeting which is passed by a vote of the majority present or voting by proxy, or email. All members at all times shall have the right to see bank statements, receipts, bills etc. associated with the business conducted by the Officers and members of The Society.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Any allotment tenant named on the tenancy agreement is eligible to be a member of The Society. Should a tenant wish to become a member, they can make this known to any Officer or Member of the Society and their name will be proposed by a member at the next meeting. The proposal will require to be seconded by a member present at the meeting and then a vote will be taken. Should the proposed member gain a majority in favour then the membership will commence on the payment of the required annual subscription which is currently \u00a31 per annum. Membership may be terminated by the member either verbally or in writing, or may be  terminated by a majority vote at a regular meeting of the membership (the imposed termination of membership to last for 6 months). Members may put forward proposals at regular meetings. Any proposals must be seconded by another member and proposals shall be carried if a majority of members vote for the proposal at a regular meeting of The Society. The voting rule at a regular meeting shall be: one vote per plot, proxy votes shall be accepted if signed by the absent allotment holder (or by the presentation of a copy of an email sent by a member to an Officer of The Society).<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Regular meetings of The Society must be held every three months, or more frequently if necessary. A quorum shall exist at a regular meeting only if all three Officers of The Society are present. At regular meetings, minutes of the previous meeting shall be approved by the members present and a current Financial Status Report shall be provided by The Treasurer. The Chairman shall be responsible for ensuring the meeting is conducted in an orderly manner and shall have a casting vote in the event of a tie, additionally, The Chairman may postpone voting on any proposal until the next meeting. The Secretary shall be responsible for calling all meetings, ensuring a minimum of seven days notice and publicity for all regular meetings, and providing a written agenda for all meetings. The Secretary shall at all times keep an up to date record of all Full Members of The Society.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The Annual General Meeting (AGM) shall be held only once in any 12 month period. The Secretary will ensure that 14 days notice is given for the AGM by way of posting notices on the allotment site notice boards and emailing members who have provided their contact details. A quorum of 7 members is required to conduct the business of the AGM. The Officers of The Society shall provide an Annual Report on the achievements and general state of The Society, and an Annual Financial Statement, to the members present. The Officers of The Society shall then stand down and any member present may put themselves forward for the positions of Chairman, Treasurer, or Secretary, to be voted upon by the membership. The voting rule at the AGM (and any other meeting of The Society) shall be: one vote per plot, and proxy votes shall be accepted if signed by the absent allotment holder, or without a signature if the absent allotment holder has made his vote known by email to a member of The Society prior to the meeting (a copy of the email from the absent member to be presented to the meeting). The Officers will then be elected in the following order\u2026 The Chairman, The Treasurer, The Secretary, the positions to be filled by the members who have the most votes cast for them. No further business shall be conducted at the AGM and the newly elected Chairman shall bring the AGM to a close.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Changes to the Constitution shall be proposed and voted upon by members at general meetings. Changes shall be implemented once passed by a vote of the majority present, or voting by proxy, or email.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Should The Society be wound up by mutual agreement of a majority of the membership, the monies and property belonging The Society shall be donated to a charity agreeable to a majority of the membership.<\/p>\n","protected":false},"excerpt":{"rendered":"<p>The name of The Society is Sapling Road Allotment Society (also referred to as &#8220;The Society&#8221;).
